A workforce management global software company needed assurance that their employees were following company spending protocol for T&E purposes.

CHALLENGE

A list of T&E tests were reviewed on a one-by-one basis where a user could employ all of the tests or a subset. Based on the multiple tests performed, a summary database consisting of the most suspicious employees was created.

SOLUTION

A program was designed to import and process data from the expense reimbursement system, including data about travel expenses, such as airfare, hotels and car rentals, and corporate credit card charges. It scored and summarized results from 15 different tests including mileage, cash transactions, and above average spending.

RESULTS

Tests identified multiple offenders who were prosecuted for their fraudulent actions. Policy changes and new controls were implemented to prevent future infractions.

CHALLENGE

Automate frequent audits of accounts payable records to identify improper payments.

SOLUTION

Developed IDEAScripts to automatically run when new data becomes available. Output data is formatted and made available for immediate import into the Microsoft® Dynamics CRM system.

RESULTS

Fully automated the import of data into IDEA and output records of all user IDs on outgoing payments to check identification codes and review exceptions. The results uncovered multiple misstatements on time sheets, totaling hundreds of thousands of dollars. The program includes 16 different tests to help detect fraudulent activity.

CLIENT

The internal audit department of a university with 9,500+ students purchased IDEA data analysis software to assist in ad hoc reviews of various data sets.

CHALLENGE

The University wanted to quickly implement IDEA to analyze accounts payable, P-Card and employee data for duplicates and potential matches to identify potential fraud, but were uncertain about which tests to run.

SOLUTION

Audimation proposed various tests for the areas of interest, and provided recommendations about which tests would be most effective.

RESULTS

The University was able to quickly detect matches between AP, P-Card and employees based on unknown addresses and names. IDEAScripts were also developed to create a repeatable process for future audits.
